FAQ
Employees
Is PersData free for employees?
Yes, it is completely free for employees to use. They can create a personal account and access the documents provided by their employers there.
Does my employer also have to use PersData?
To receive documents that an employer makes available via PersData, the employer must be registered with PersData. Employees can register first and then provide their employer with their PersData ID or the email address they used to register.
Can I also open my documents on my smartphone?
Yes, PersData can be used on computers, tablets, and smartphones. There is also an app available for download in the Play Store for Android (Apple iOS coming soon).
Can I upload my own documents?
Yes, in the “My Documents” section, you can upload as many personal documents as you like, such as your job application materials. This allows you to store relevant existing documents in one central location and securely send them to your employer as needed.
Can different employers store documents in my account?
Yes, documents from different employers are automatically stored and grouped by employer. This is particularly useful when changing jobs or holding multiple concurrent employment positions.
You have access at any time to all documents sent by your employer (including past ones). No documents are deleted.
How do I log in securely to PersData?
To log in, you need an email address and a password of your own. Additionally, two-factor authentication via an authenticator app is required.
This extra layer of security complements the standard login process.
Keep your login credentials safe and never share verification codes with anyone else.
Can I delete my own documents?
Only your own documents (not those sent by your employer) can be deleted.
What should I do if I can’t log in?
First, check your email address and password. Also verify that two-factor authentication via the Authenticator app is working.
If you still can’t access your account, contact PersData Support at contact@persdata.ch.
Employers
What is PersData, and how can it benefit my company?
PersData is a digital portal for providing and managing HR documents. Companies can centrally make documents such as pay stubs, wage statements, BVG statements, time reports, and contracts available to their employees.
Instead of sending documents multiple times via email or managing them across various storage systems, employees have access to a single, centralized location.
The benefits for you: Less administrative work, a more organized document storage system for employees, and simpler digital communication with your employees.
How much does PersData cost for employers?
PersData is designed for companies that want to make HR documents available digitally and centrally.
There is a small one-time registration fee, and a small fee is charged per document sent (see Employer Information), which is billed monthly.
How do the documents reach my employees?
Employers can make documents available to their employees. Documents are assigned using the PersData ID or the email address provided. If the employee is not yet registered with PersData, a user account is automatically created based on the email address, and an informational email is sent to the employee.
Employees can access the documents made available to them through their personal account.
To get started, we recommend first setting up a small group of employees and testing the process with a sample document.
Do I need to replace my existing payroll software to use PersData?
No, this is not necessary. PersData is designed as a central platform for HR documents. Whether and how documents can be imported from your existing payroll software or made available automatically depends on the available interfaces and your workflow.
The goal is to simplify document delivery without making unnecessary changes to proven processes.
An interface for automation is easy for the payroll software vendor to integrate into the process.
Why should I use PersData instead of email or a standard cloud service?
Delivering documents via email often results in scattered inboxes, multiple copies, and additional time spent searching for files. Furthermore, a standard file storage system is not automatically designed for workflows involving HR documents.
PersData organizes documents by employer and employee and offers features such as encrypted file storage, additional login authentication, and a dedicated area for documents. Whether the solution is suitable for your company depends on your security requirements and workflows.
Is PersData also suitable for small businesses with few employees?
Small businesses in particular can benefit from a centralized document storage system. Even without a large HR department, pay stubs, contracts, and other documents need to be organized and made accessible to the right people.
PersData can provide an easy way to get started with the digital distribution of HR documents. Based on your number of employees and your workflows, determine which features you actually need.
We also have a section where you can maintain a list of employees and send any number of PDFs per employee. This is ideal for small businesses.
